EVENT MANAGEMENT

Event Management Company in Hong Kong and Bangkok

Planning, staging, sound and light, and on-site coordination for corporate events, galas and weddings across Hong Kong, Bangkok, Singapore and Kuala Lumpur.

Quick answer

South East Asia Entertainment is an event management company working out of Hong Kong and Bangkok, with regular projects in Singapore, Kuala Lumpur, Macau and Phuket. We handle the parts that sit around the performance: run of show, stage and power requirements, sound and lighting, vendor coordination and a crew on-site for the day. Most corporate bookings are confirmed four to eight weeks out, though ballroom galas and large product launches often need twelve.

1. The basics

What an event management company actually does

An event management company is the team that makes sure the show actually runs the way it looks on the proposal. That means confirming the venue's power and rigging limits before anyone books a performer, building a run of show down to the minute, briefing the AV crew, and having someone standing at the side of stage when the MC goes on. It is not the same as a wedding planner who sources flowers and caterers, and it is not the same as a talent agency that only sends a band. We do both ends: we book and manage the entertainment, and we manage the production around it.

For corporate clients this usually covers conferences, award nights, gala dinners, product launches and incentive trip closing parties. For private clients it is weddings, milestone birthdays and family celebrations. If you already have an in-house events team, we often sit underneath them as the production and entertainment partner rather than running the whole event ourselves, which keeps cost down and avoids duplicating work your team already does well.

2. Hong Kong

Hong Kong: venues, power and lead times

Hong Kong events fall into three venue types, and each one changes the production plan. Hotel ballrooms (Wan Chai, Causeway Bay, Tsim Sha Tsui) usually have house sound and a fixed rig, so our job is adapting your run of show to their system and bringing in extras like LED walls or a bigger PA where the house gear is not enough for a band or dance act. Rooftop bars and sky lounges look great on the invite but often have strict load-in windows, lift size limits and noise curfews around 11pm to midnight, which has to be built into the schedule from day one. Harbour cruises in Victoria Harbour are their own category: power is limited to what the boat supplies, there is no load-in once you leave the pier, and a soundcheck has to happen dockside before boarding.

Lead time for a straightforward corporate dinner with a band or MC is three to five weeks. Chinese New Year season (roughly late January into February) books out fast because corporate dinners cluster into a three-week window, so clients wanting a lion dance, live band or full gala production should confirm six to eight weeks ahead. Year-end gala season (November and December) is the same story.

3. Bangkok

Bangkok: venues, power and lead times

Bangkok gives more room to build a bigger production because ballroom and convention space is larger and generally cheaper to kit out than Hong Kong, but traffic and load-in logistics take more planning, not less. Hotel ballrooms around Sukhumvit and Silom are the default for conferences and galas. Chao Phraya river dinner cruises are a popular alternative for welcome parties and incentive groups, similar logistics to a Hong Kong harbour cruise: fixed power, no mid-event load-in, dockside soundcheck required. Riverside and rooftop venues often need a generator or supplementary power for a full band and lighting rig, so confirm the venue's power supply before confirming a performer lineup with more than three or four pieces.

Lead time for most Bangkok corporate bookings is three to six weeks. Loy Krathong and Songkran both push demand up sharply, Loy Krathong for riverside and hotel events in November, Songkran for corporate parties and incentive closings in April, and both deserve six weeks minimum if you want specific performers rather than whoever is free.

4. Singapore and Kuala Lumpur

Singapore and Kuala Lumpur

Singapore work is concentrated around Sentosa resorts, Marina Bay hotels and the CBD convention hotels, all of which run tight, well-documented AV specs, which actually makes planning faster once we have the venue's technical pack. Kuala Lumpur events cluster around the KLCC area and Bukit Bintang hotel ballrooms, with similar house-system setups to Hong Kong. In both cities, Hari Raya and Diwali are the dates to flag early if your event sits near them, since venues and performers both tighten up in the surrounding weeks. We also take on projects in Macau and Phuket on request, usually as an extension of a Hong Kong or Bangkok booking.

5. Production requirements

Stage, sound and light: what you need to tell us

The single biggest cause of a show running late or sounding wrong is a mismatch between what the performer needs and what the venue actually has. Before we confirm any entertainment booking we need the room dimensions and ceiling height, the venue's house sound and lighting spec (or confirmation there isn't one), the power points available at the stage, load-in access and timing, and whether there's a noise curfew. A five-piece band needs a different stage footprint and power draw than a DJ and MC, and a dance crew needs floor space and wing area that a lot of ballrooms don't budget for until someone asks.

Set lengths are worth deciding early too: a typical corporate dinner band set runs two sets of 45 minutes with a break for speeches and awards, while a wedding reception band often does three shorter sets across the evening. Tell us the guest count, the room, and roughly how formal the night is, and we'll come back with a stage plan and gear list rather than a generic quote.

Event typeTypical lead timeKey production detail
Hotel ballroom gala (HK or Bangkok)4 to 8 weeksHouse sound and lighting, confirm LED wall and rigging separately
Harbour or river cruise4 to 6 weeksFixed boat power, dockside soundcheck, no mid-event load-in
Rooftop or sky bar event3 to 5 weeksLoad-in window, lift size, noise curfew around 11pm to midnight
Product launch / conference6 to 10 weeksAV run-through, stage build, speaker timing
Wedding reception8 to 12 weeksThree-set format, MC and band coordination
Chinese New Year / Songkran period6 to 8 weeks minimumHigh demand window, confirm early for specific performers
6. On the day

Run of show and on-site coordination

A run of show is the minute-by-minute document that tells every vendor, performer and venue contact what happens and when: doors, welcome drinks, MC intro, speeches, performance slots, award presentations, dinner service, closing act. We build this with you ahead of time and share it with the venue's banquet or event manager so there are no surprises about when the band needs to load in or when the lighting cue for the awards segment happens.

On the day, we put a coordinator on-site to run the timeline, manage performer changeovers, and act as the single point of contact between you, the venue and the entertainers, so you are not the one chasing a soundcheck or a late delivery van. For multi-performer nights, such as a gala with a live band, a dance act and a magician doing table visits during dinner, this coordination is where most of the production budget actually goes, because it is what keeps a night of different acts feeling like one show instead of three separate bookings.

The most expensive mistake

Booking performers before confirming the venue's power, stage size and load-in window. We regularly get calls days before an event where the band's rig doesn't fit the stage or the venue's power can't take a full PA. Confirm the venue's technical details first, then book the entertainment against them, or come to us with the venue name and we'll check it for you.

7. Pricing

Guide pricing for event management and production

Pricing depends on scope: a company that only manages entertainment booking and a run of show costs less than one that also supplies stage, sound, lighting and an on-site production crew. As a rough guide, coordination and run-of-show management alone for a corporate dinner in Hong Kong starts around HK$8,000 to HK$15,000, rising with guest count and number of performers. Full production including sound, lighting and a stage build for a Hong Kong ballroom event typically runs HK$30,000 upward depending on room size and AV complexity. In Bangkok, equivalent full production work typically starts around THB 80,000 to THB 150,000 for a mid-size corporate event, scaling up for larger galas or multi-act lineups. These are guide ranges only. Confirm against your venue, guest count and performer lineup with a quote.

If your event centres on a particular act, it's worth looking at what's available before locking the production plan: our pages on live bands in Bangkok and Hong Kong, dancers for Hong Kong and Bangkok events and corporate entertainment across Asia cover set formats, stage needs and typical lineups. For weddings specifically, see wedding planning across Asia.

What does an event management company in Hong Kong or Bangkok actually include?

It typically includes venue liaison on technical requirements, building the run of show, booking and briefing performers, coordinating sound and lighting suppliers, and having a coordinator on-site for the event itself. Some clients only need the entertainment booked and briefed against an existing in-house plan. Others need the full production managed from first call to load-out. Scope is agreed before a quote is issued.

How far in advance should I book event management services in Hong Kong?

Three to five weeks for a standard corporate dinner, six to eight weeks during Chinese New Year or year-end gala season, and eight to twelve weeks for a large product launch, conference or wedding that needs a full stage build. Harbour cruises and rooftop venues with limited load-in slots should also be booked on the earlier end of that range.

How far in advance should I book in Bangkok?

Three to six weeks for most corporate events, and six weeks minimum during Loy Krathong in November or Songkran in April, when both venues and performers book out fast. River cruise dinners and events needing supplementary power for a full band or lighting rig should also be confirmed early, since generator hire adds a step to the planning.

Can you manage a hybrid or virtual event?

Yes, within the scope of stage, AV and on-site production for the in-room audience. We coordinate the technical side that connects to a streaming or broadcast setup, but the actual streaming platform, remote production and virtual attendee experience is usually handled by a specialist AV or broadcast partner that we work alongside rather than manage directly.

Do you only handle entertainment or full event production too?

Both. Some clients want us to book and manage the performers only, working inside a run of show their own planner has built. Others want full production: stage, sound, lighting, run of show and on-site coordination from load-in to load-out. Tell us your scope when you enquire and we'll quote against it rather than assume the bigger job.

What information do you need to give an accurate quote?

The date, city and venue, expected guest count, whether it's a conference, gala, launch or wedding, and roughly what entertainment or production elements you already have confirmed. If you have the venue's technical pack or floor plan, send it. The more of this we have up front, the faster we can quote and the fewer surprises come up closer to the date.

To get a quote, send the date, city, venue and guest count on WhatsApp at +65 9428 4249 or through our contact page. If you already know which performers you want, mention them too and we'll build the production plan around them, whether that's a live musician or something for a family audience from our kids entertainment roster.
